Commitment
This is a part-time, independent contractor position expected to run from ASAP through November 16, 2025, with weekly hours increasing as the event date approaches.
Location
This role is primarily remote, with in-person event support required (San Diego, CA).

Summary of Role:
We’re seeking a highly organized, proactive, and detail-oriented Event Coordinator to support the planning, logistics, and execution of a high-impact, mission-driven event. This role will work directly with the Director of Events and provide hands-on assistance with every aspect of event coordination—from supporting timelines with auction procurement, sponsorships, and on-site support.
This fast-paced role is ideal for someone who thrives under deadlines, takes initiative, and follows direction well. You’ll support the Event Director while helping deliver seamless, purpose-driven experiences.
Key Responsibilities:
- Assist Event Director with day-to-day planning and execution of event logistics
- Support timelines, task lists, and deliverables
- Lead auction item procurement, outreach, and documentation
- Assist with sponsor coordination and deliverables tracking
- Assist with event collateral and materials (e.g., signage, swag, schedules)
- Support registration logistics, and RSVP tracking
- Be present for setup, live-event logistics, real-time troubleshooting, and post-event breakdown and evaluation
Qualifications:
- 2+ years of experience in event coordination, production, or logistics.
- Experience in sponsorship or auction management is a strong plus.
- Excellent organizational skills and strong attention to detail.
- Clear, professional communication—both written and verbal.
- Ability to handle multiple priorities and work independently.
- Flexible, resourceful, and calm under pressure.
- Tech-savvy and comfortable with tools like Google Workspace, Monday.com, BetterUnite, and Slack.
- Available for virtual meetings and in-person event support.
Compensation:
- Contract role; hourly rate based on experience
- Approx. 15-20 hours/week with opportunity to increase as event nears
