Conversations with the Capones is a podcast hosted by Amber and Marcus Capone, exploring the intersection of healing, leadership, service, mental health, and the evolving landscape of psychedelic-assisted therapies. Through candid conversations with researchers, veterans, clinicians, policymakers, philanthropists, and thought leaders, the podcast aims to educate, inspire, and advance meaningful dialogue around innovative approaches to healing and human potential.

About the Role

Working closely with the Director of Marketing & Communications, you will also support content and production strategy, including episode planning, guest preparation, rollout and amplification strategies, and the continued growth of the podcast.

This role is ideal for a detail-oriented, proactive, and solutions-driven contractor who thrives in a collaborative environment and has prior experience supporting or producing podcasts. The ideal candidate understands the end-to-end podcast production process, excels at managing multiple moving pieces simultaneously, and is passionate about creating meaningful, high-quality content that engages audiences and advances important conversations.

Scope of Work

Guest & Production Coordination

  • Lead the creation and ongoing maintenance of a podcast information deck to be shared with prospective guests, partners, and key stakeholders, ensuring all materials remain current and aligned with the podcast’s brand and messaging.
  • Identify, research, and source prospective guests whose expertise, experiences, and perspectives align with the podcast’s mission and audience, which are intended to reflect and advance the mission of Veterans Exploring Treatment Solutions (VETS).
  • Manage guest outreach, scheduling, and communications with professionalism and care.
  • Coordinate Marcus and Amber Capone’s recording schedule in partnership with their Executive Assistant and the Director of Marketing & Communications.
  • Generate and distribute podcast recording links (e.g., Riverside, Zoom) and confirm technical readiness for each recording.
  • Coordinate recording logistics with hosts, guests, and internal stakeholders to ensure smooth production timelines.
  • Deliver a polished, professional guest experience from initial outreach through episode publication.
  • Provide timely production updates and logistical coordination to the Capones and internal stakeholders.

Content & Editorial Support

  • Conduct guest research and develop briefing materials for Marcus and Amber.
  • Draft interview outlines, including suggested questions, key messages, narrative flow, and audience hooks.
  • Support podcast positioning, editorial planning, and show format in collaboration with the Director of Marketing & Communications.
  • Maintain the podcast content calendar and production schedule.

Production, Distribution & Promotion

  • Coordinate post-production workflows, including editing, approvals, show notes, transcripts, publishing, and distribution in partnership with internal or external production teams.
  • Collaborate with the Director of Marketing & Communications to develop and execute the podcast’s growth strategy, identifying opportunities to expand audience reach, increase engagement, and strengthen the show’s long-term impact.
  • Support rollout and amplification strategies by coordinating promotional assets, social media content, email marketing, website updates, and other cross-channel marketing efforts.
  • Partner with podcast guests and their teams to maximize episode promotion across their owned channels, social platforms, newsletters, and professional networks.
  • Coordinate podcast release dates with broader organizational marketing campaigns and key initiatives.
  • Track podcast performance and audience insights to help inform future guest selection, episode planning, and content strategy.

Required Qualifications

  • 2+ years of experience in podcast production, project coordination, executive support, content marketing, or a related field.
  • Excellent organizational and communication skills with the ability to manage multiple priorities simultaneously.
  • Experience with scheduling tools (e.g., Calendly, Google Calendar) and podcast recording platforms (e.g., Riverside, Zoom).
  • Experience coordinating projects across multiple stakeholders and managing production timelines.
  • Strong writing and editorial skills, with the ability to translate complex topics into compelling, audience-focused conversations.
  • Detail-oriented, proactive, resourceful, and highly organized.
  • Comfortable working independently while collaborating effectively with a remote team.
  • Strong interpersonal skills with a collaborative, mission-driven mindset.
  • Experience working with executive-level leaders, public figures, or high-profile guests is preferred.

  • Time Commitment: Approximately 15–20 hours per week initially, with the expectation that the role and time commitment may grow as the podcast expands and new opportunities emerge.
