About the Role:
We are seeking a highly organized, proactive Marketing and Communications (MarCom) Project Assistant to support our team in executing key marketing and communications initiatives. This part-time position (up to 20 hours per week) will focus on project management, asset organization, and content publishing. The ideal candidate will possess strong attention to detail, excellent communication skills, and a passion for advancing VETS’ mission to help veterans access transformative mental health treatments.
Key Responsibilities
Digital Asset Management
- File Organization: Name and organize digital files within the Digital Asset Management (DAM) system to ensure easy access to brand assets, images, videos, and documents.
- Collaboration: Partner with the MarCom Manager to establish and maintain consistent naming conventions and organizational structures.
Meeting Coordination & Note Management
- Note Taking: Attend MarCom and other key internal meetings, capturing comprehensive notes and action items.
- Documentation Storage: Organize and share meeting notes with relevant stakeholders, ensuring follow-up tasks are properly tracked and completed.
Project Management & Timeline Tracking
- Project Timelines: Create and maintain timelines for marketing and communications projects, ensuring milestones and deadlines are met.
- Progress Monitoring: Track the progress of multiple workstreams and notify project owners of upcoming tasks or potential delays.
- Communication Liaison: Serve as a point of contact between project owners, the MarCom team, VETS leadership, and other stakeholders, providing status updates and soliciting feedback.
- Resource Allocation & Recommendations: Monitor project progress, provide recommendations for pivots, and assess resource needs or prioritization.
Website Updates & Content Publishing
- Weekly Updates: Under the direction of the MarCom Manager, update the VETS website with new content, including:

- Team Additions or Removals
- Shop Updates & Upcoming Events
- Blog Posts and Other Content
- Quality Assurance: Ensure all content is aligned with VETS branding, accurate, and free of errors before publishing.
Content Creation & Coordination
- Content Support: Assist the MarCom Manager with content planning, scheduling, and distribution across various platforms (social media, email, blog).
- Copyediting & Proofreading: Review and refine digital and print materials for grammar, style, and consistency with VETS’ brand.
Qualifications & Skills
Education & Experience:
- Bachelor’s degree (or equivalent experience) in Marketing, Communications, Project Management, or related field preferred.
- 2–5 years of professional experience in a marketing, communications, or project management role. Nonprofit or mission-driven experience is a plus but not mandatory.
Technical Proficiency:
- Familiarity with digital asset management tools or cloud storage platforms (e.g., Dropbox, Google Drive).
- Comfortable using website content management systems (e.g., WordPress, Wix, or similar).
- Basic knowledge of project management software (Asana, Trello, Monday.com, etc.) for task tracking and collaboration.
- Proficiency in Microsoft Office and/or Google Workspace.
Organizational and Communication Skills:
- Excellent attention to detail, able to juggle multiple projects and deadlines.
- Strong written and verbal communication; able to clearly convey updates and action items to a variety of stakeholders.
- Demonstrated ability to maintain organized records and follow structured processes.
Personal Attributes:
- Passion for VETS’ mission of supporting veterans’ mental health.
- Proactive and resourceful, adept at solving problems and making informed recommendations.
- Able to work independently in a remote environment while collaborating effectively with a distributed team.
- Flexible, adaptable, and comfortable navigating a rapidly evolving nonprofit environment.
Compensation and Benefits
This is an independent contractor position with compensation based on experience. The time commitment is ad-hoc and is generally estimated at 20 hours per week, with flexibility based on project needs. No health benefits are provided.
